Roles and permissions
For members, managers and admins
This page is the single source for what each role in a ChronoTab organisation can see and do. It is for everyone: read the row for the action you are about to take, and the column for your role. Where another page describes a permission, this table is the authority.
The three roles
Section titled “The three roles”Every person in an organisation holds one role. A role is per organisation: if you belong to more than one, you can be a Member in one and a Manager in another. See Switch between teams.
| Role | In one line |
|---|---|
| Member | Logs their own time and sees only their own My week. |
| Manager | Everything a Member can do, plus organisation-wide reporting, editing any member’s entries, and the timesheet lifecycle. |
| Org admin | Everything a Manager can do, plus the Administer area and the Team page. |
The UI badge in the sidebar footer shows your role as Member, Manager or Admin. An admin is shown as Admin in the badge and described as Org admin across these pages.

What managers and admins gain
Section titled “What managers and admins gain”- Organisation-wide Reports. A Member never sees the Reports page; a Manager and an Org admin see every member’s entries for the period they choose. See Reports.
- Editing other people’s entries. Only a Manager or Org admin can change or delete an entry they did not log. See Edit another member’s entries.
- The timesheet lifecycle. Generating, submitting, approving, rejecting, voiding and sharing timesheets is a Manager and Org admin job. See How timesheets work.
What only admins gain
Section titled “What only admins gain”The Administer group in the sidebar — Members, Clients, Settings and Audit log — and the Team page in the Analyse group are for Org admins only. Because Settings is admin-only, so is the in-app Create another organization entry; see Create another organisation. Activity types are managed in Settings too, so only admins can change them; everyone picks from the list when they log time. See Members and roles, Clients, Repositories, Organisation settings, Activity types, Audit log and Team completeness.
Plan and billing. Only Org admins see the Plan section at the top of Settings and the Billing page. They can upgrade, switch, move to Free, cancel, undo a change, open Manage billing, and choose which repositories stay active during a plan’s 14-day window. Members and Managers see the plan’s effects on their own time, but not the billing details. See Plans and billing.
An organisation always keeps at least one active Org admin: the last active admin cannot be demoted or disabled. To step down, promote someone else first — see Members and roles.
People outside your organisation
Section titled “People outside your organisation”A ChronoTab client who receives a share link has no account and no role. They can open the one timesheet the link points at and approve or reject it, and nothing else. See Approve a timesheet.
Next steps
Section titled “Next steps”- Duration and date rules — the formats every role uses when logging time.
