Payments, invoices and refunds

For admins

This page is for org admins. It explains how payments work for a paid ChronoTab plan: where to update your card, where to find invoices, what happens when a payment fails and what the refund policy is. The plans themselves are on Plans and billing, and changing a plan is on Upgrade, switch or cancel your plan.

Paid plans apply from a date we will announce at least 30 days in advance. Until then no payment is taken.

Paid plans are sold by Paddle.com, our reseller and merchant of record. Paddle takes the payment, works out and collects any tax, issues the invoice or receipt, and handles questions about a bill. You accept Paddle’s checkout terms when you first pay.

ChronoTab never receives or stores your card or bank details. It knows only which plan your organisation is on and whether its payments are up to date.

On the Billing page, choose Manage billing. Paddle’s billing page for your subscription opens in a new tab. From there you can:

  • see your invoices and receipts;
  • update your card or other payment method.

Changes you make on Paddle’s page are picked up by ChronoTab when you come back to its tab. The Billing page then shows the new details. You do not need to reload it yourself.

Update card is the same link. It appears on the Billing page when the last payment has failed, and it opens the same billing page.

Prices are shown plus tax. Paddle adds any tax due for your location at checkout, and that tax appears on your invoice. ChronoTab does not calculate or store tax itself.

If a renewal payment fails, the paid plan keeps working while Paddle retries the card. Paddle retries for up to 30 days from the first failed payment.

While a payment is outstanding:

  • The Billing page shows Past due on the plan card and says when the payment failed and until when the card will be retried.
  • Admins see a banner across ChronoTab: Your last payment failed. It names the date to update your card by to keep your plan. Choose Update card to fix it.
  • Everything keeps working until that date. Nothing is paused or deleted because of a failed payment on its own.

If the payment is still not made when the retry period ends, the subscription ends and your organisation moves to Free. The Billing page then reads Moved from your old plan to Free on that date. Free’s limits apply from then on. If your team is over Free’s limits at that point, the 14-day window to choose repositories applies, as described on When a repository is paused.

When a payment that failed is later paid, ChronoTab clears the warning and the plan carries on as before.

Invoices and receipts come from Paddle, not ChronoTab. Find them under Manage billing.

ChronoTab does not keep its own copy of invoices. A plan’s price appears on the Billing page and the pricing page, as the payment provider returns it.

ChronoTab has no refunds on paid plans. This is in every confirmation that charges you or changes your plan, and it is in full in the refund policy:

  • You can cancel at any time.
  • Your plan stays active until the end of the billing period you have paid for. Cancelling does not end it early or return part of the payment.
  • ChronoTab does not give credit either. A change that would leave you unused paid time is not made part-way through a period: an annual plan cannot be switched to monthly until its period ends (cancel, keep the plan to the end, then choose Monthly). Switching monthly to annual takes effect now, with the unused part of the current month deducted from the annual price. See Upgrade, switch or cancel your plan.
  • Cancelling never deletes anything. Your repositories, entries and timesheets stay, and the Free limits apply from the date your plan ends.

If you think a charge is wrong, contact Paddle from the billing page under Manage billing, or write to support@chronotab.com if you need help with ChronoTab itself.

Only org admins can open the Billing page or see invoices. Managers and members do not see payment details, and a member who opens the Billing page is sent to My week.
