What happens to entries after approval

For members, managers and admins

This page explains what changes for your time entries once they are included on a timesheet, and how a mistake is corrected afterwards. It is for every role, because the lock affects everyone’s entries; the correction itself is done by a manager or admin.

Entries lock when a timesheet is submitted

Section titled “Entries lock when a timesheet is submitted”

Time entries start out freely editable. When a timesheet that includes them is submitted, those entries are locked: they can no longer be edited or deleted, by you or by anyone else. This is deliberate. A timesheet is the number your client sees, so once it has been submitted it must not change underneath it.

On My week, a locked entry shows a small lock icon beside its duration, and its menu offers View instead of Edit and Delete. Opening it shows the entry read-only, with the reason it is locked — for example This entry is on a submitted timesheet, so it can’t be edited or deleted. — and the timesheet that holds it. A manager or admin gets a link to open that timesheet; anyone else sees its reference and is asked to talk to an admin if it needs to change.

A submitted timesheet is corrected by voiding it. A manager or admin voids the timesheet, giving a reason. Voiding releases its entries, so they can be fixed and included in a later timesheet. The original timesheet is kept as history but is no longer a live number.

Voiding is available to managers and admins; members cannot void a timesheet themselves.
